In this role, you will be responsible for managing accounting data entry, ensuring accuracy in financial records, and supporting our office with various administrative tasks. Key Responsibilities Include:
 
Administrative
 
  • Serve as the first point of contact for visitors, clients or vendors
  • Manage phone calls, emails, and correspondence
  • Manage office supplies and cleaning supplies inventory, order new supplies as needed. Coordinating with preferred vendors where required
  • Assist with the coordination of office maintenance and repairs
  • Handle incoming and outgoing mail, including sorting and distributing
  • Assist in managing the scheduling of appointments and meetings
  • Assist in coordinating travel arrangements for staff, including booking flights, hotels and transport
  • Prepare, edit, and manage documents, reports and presentations
  • Maintain and organize files, both physical and digital, including scanning
  • Assist in planning company events, meetings or conferences
  • Assist with marketing initiatives, for example printing and distributing monthly parts flyers
 
Accounting
 
  • Record invoice transactions into the accounting system
  • Assist with payroll, including gathering employee time sheets, calculating hours and balancing reports
  • Perform daily cash balancing duties, including balancing float, posting receipts and credit/debit transactions, and reconciling daily
  • Review and process credit applications
  • Assist with Company credit card monthly processing, including gathering receipts and communication
  • Manage Company fuel cards, including the reconciliation of monthly transactions
  • Assist with yearly inventory count
 
General Skills and Qualities:
 
  • Attention to Detail: Accuracy in handling financial data it critical to the success of the role. Ideally the candidate has 1-2 years of experience with accounting related data-entry.
  • Confidentiality: Must be capable of handling sensitive information with discretion.
  • Software Proficiency: Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.) is required, and experience with SharePoint is considered an asset.
  • Communication Skills: Effective writing and verbal communication capabilities, for dealing with colleagues, clients, and external stakeholders.
  • Organizational Skills: Ability to manage multiple tasks and deadlines.
  • Problem-Solving: Ability to troubleshoot and communicate issues as they arise.
 
This role requires balancing administrative duties with accounting tasks, making it essential for the assistant to be versatile, organized and detail oriented.

  • You will need a passion for trucks and an ability to stay focused and keep your cool when things get busy in the new truck world.
  • A little bit of truck savvy is needed.
  • The know how to undertake a pre-delivery inspection on a new vehicle and make any adjustments is necessary.
  • The roll also includes installing bling, lights, chrome, tub fenders, and touch-up paint.
  • You will also install mirrors, hood deflectors, and various other components and tasks to make the truck complete according to the customer/manufacturers spec and complete in an accurate and timely manner.
  • Test drives and installing aftermarket equipment will all be part of the job.
  • You will ensure vehicle and equipment appearance and maintain a clean and tidy work bay.
  • You will also communicate and coordinate work order needs for the service team and perform quality control inspections.
